File

Files are the fundamental elements in a document management system that contain content. Files hold information related to specific topics, and this content is stored in the system to be accessed and organized efficiently. Files are provided to users for various operations (viewing, editing, deleting, sharing, etc.) in the system.

File Download

In DM Explorer, the File Download process can be performed through the right-click menu in the repository or folder where the file is located, or by using the Download option in the top menu. This process allows the user to download the selected file to their computer and create a local copy. See File Download documentation for more details.

File Shortcut

The Create Shortcut process allows users to create quick access to files or folders. A shortcut provides a direct link to the target file or folder and allows access without changing the location of the original file or folder. This process can be performed from the right-click menu of the file or folder in DM Explorer or from the top menu. See File Shortcut documentation for more details.

File Share

The File Share process allows users to share files with others. This process can be done via the file's link or by sharing the file as an email attachment. The sharing process can be customized with access permissions and expiration dates for the file. See File Share documentation for more details.

File Properties

File properties are used to manage and organize additional information about a document. The properties screen provides options for viewing and editing tags and category information for the file. In DM Explorer, right-click the file and select Properties to access this screen. See File Properties documentation for more details.

File Creation

To add a file to a folder or repository, use the New File option in the right-click menu of the folder or repository, or select New > New File from the top menu. See File Creation documentation for more details.

Activity Messaging

In the Activities screen, users can view actions performed on files, share messages, and reply to messages. The New Message option allows users to share information about actions performed on the document and notify tagged users. The activities screen is only accessible to users who are authorized for the relevant file or document. See Activity Messaging documentation for more details.

File Comparison

The File Comparison process compares the contents of two files of the same type and highlights the differences. This process can be done through the Compare option in the right-click context menu in DM Explorer or by clicking the Compare button in the file viewing screen. AI Assistant

The Chat with Document feature allows users to ask questions about MS Office and PDF documents via the AI assistant. This feature enables detailed information about the document's content to be obtained, specific sections to be queried, and quick feedback on the content. File Rename

The File Rename process allows the name of an existing file to be changed. This process can be performed via the right-click menu of the file in DM Explorer or from the top menu after selecting the file. See File Rename documentation for more details.

File Favorite

The Add to Favorites process allows users to quickly access frequently used files, folders, or repositories. See File Favorite documentation for more details.

File Copy

The File Copy process allows a selected file to be copied to another repository or folder. See File Copy documentation for more details.

File Download

In DM Explorer, the File Download process can be performed through the right-click menu in the repository or folder where the file is located, or by using the Download option in the top menu. File Content Operations

Content files are the files within a document that are added to enrich the document's content. Adding, editing, or deleting content files can only be done by users with edit permissions. See File Content Operations documentation for more details.

File View

The File View screen allows users to view files within their access rights in DM Explorer and use available functions based on their permissions. See File View documentation for more details.

Open On Desktop

The Open On Desktop feature allows users to open MS Office file types directly on their computers using the appropriate applications. Users can view and edit documents in programs such as Microsoft Word, Excel, or PowerPoint using this feature. See Open On Desktop documentation for more details.

File Signature

The Electronic Signatures button in the document viewing screen allows users to view the signatures on the document and perform the signing process. See File Signature documentation for more details.

Start Working

For documents that need editing, a draft work is started on the file. The process of starting work can only be performed by users with edit permissions. See Start Working documentation for more details.

File Delete

The File Deletion process allows users to remove a selected file from the system. Deleted files are moved to the Recycle Bin, and they are unavailable in the system unless restored. See File Delete documentation for more details.
